What are the different learning workflow statuses

There are four different learning workflow statuses: Draft, Pending Approval, Future Approval, and Approved.

Draft

  1. When a learning workflow is first created, its status is Draft.
  2. Draft learning workflows can be edited at any times.
  3. Draft learning workflows do not display to students. If a draft learning workflow is part of a learning path that is live to students, when the student launches the learning workflow, they will receive an error.
  4. If the draft is a later version, the most recently fully approved version of the learning workflow will continue to show to the students.
Pending Approval

  1. When you request approval of a learning workflow, the status is changed to Pending Approval.
  2. Learning workflows that are Pending Approval cannot be edited. To edit a learning workflow that is Pending Approval, revert it back to draft.
  3. If the learning workflow is a v1 (there is no approved version) Pending Approval and is part of a live course, the student will receive an error message when they launch the learning workflow.
  4. If the learning workflow has a previously approved version and is part of a live course, the student will continue to see the most recently fully approved version and not the Pending Approval version.
Approved

  1. A learning workflow is approved in the content review process.
  2. Approved learning workflows cannot be edited.
  3. To edit an Approved learning workflow, you must request revision of the learning workflow. This will create a new draft version of the learning workflow.
  4. Approved learning workflows are live to students. If there are multiple versions of the learning workflow, the most recently fully approved version of the learning workflow will display to the student.
Future Approval

  1. A learning workflow is set for future approval in the content review process.
  2. The learning workflow will display the date that the learning workflow is set to be approved.
  3. A Future Approval learning workflow cannot be edited.
  4. To edit a Future Approval learning workflow, you can revert it back to draft.
  5. If a learning workflow is a Future Approval v1 (there is no fully approved version) and is part of a live course, the student will receive an error message.
  6. If a learning workflow has a previously fully approved version and is part of a live course, the student will continue to see the most recently fully approved version until the set for future approval date is reached.
