What are the different item statuses

There are four different statuses for instruction and question items: draft, pending approval, approved, and future approval. 

Draft 


  1. When an item is first created, its status is Draft
  2. Draft items can be edited at any time. 
  3. Draft items do not display to students. If a Draft item is part of a learning workflow that is live to students, the student will receive an error message. 
Pending Approval 


  1. When you request approval for an item, the status is changed to Pending Approval
  2. Items that are Pending Approval cannot be edited. To edit an item that is Pending Approval, revert it back to Draft. 
  3. If an item is a V1 (there is no approved draft) Pending Approval and is part of a learning workflow that is live to students, the student will receive an error message. 
  4. If an item has a previously approved version and is part of a learning workflow that is live to students, the student will continue to see the most recently fully approved version and not the Pending Approval version. 
Approved


  1. An item is Approved in the content review process. 
  2. Approved items cannot be edited. 
  3. To edit an Approved item, you must Request Revision of the item. This will create a new draft version of the item. 
  4. Approved items are live to students. If there are multiple versions of the item, the most recently fully approved version of the item will display to the student. 
Future Approval


  1. An item is set for Future Approval in the content review process. 
  2. The item will display the date that the item is set to be approved.
  3. A Future Approval item cannot be edited.
  4. To edit a Future Approval item, you can revert it back to Draft. 
  5. If an item is a Future Approval V1 (there is no fully approved version) and is part of a learning workflow that is live to students, the student will receive an error message. 
  6. If an item has a previously fully approved version and is part of a learning workflow that is live to students, the student will continue to see the most recently fully approved version until the set date for future approval is reached.
